A personal message from our esteemed leader:
Hi! My name is Fiona and I am the Managing Director of a successful website design company created 17 years ago and now employing 6 people in our funky studio at the Innovation Centre in St Leonards, as well as a team of regular freelance contributors who work from home. I’m delighted to say that my company is growing and I am in need of an excellent PA to make my life easier by taking some of the load off my desk, so instead of a list of tasks and duties, let me share with you my dream scenario of how amazing my working day could be with your help:
I’m always out and about meeting clients and attending business networking meetings, so my perfect PA will send me off in plenty of time to drive there (with directions if it’s somewhere I haven’t visited before), advise me on parking at the destination and make sure I have notes of previous meetings in my grasp as I leave. I’ll also be safe in the knowledge that the client already received an email confirmation of the date, time and location when the appointment was originally made, the Production Team know where I am as the meeting is clearly entered in the company electronic diaries, plus the client has also received a friendly reminder phone call the day before so my visit won’t catch them unawares.
When I return to the office, my wonderful PA will type up my meeting notes (reading my handwriting could be the challenge here), and will have already set time in my diary for me to work these into a quote or follow up call with the client. In my absence, this super organised PA will have updated customers who have projects underway by the Production Team - by professionally worded, friendly email; tomorrow’s meetings will have been called to confirm my attendance; my email will be free of junk; any requests for technical support will have been referred to the most appropriate Production Team member; client requests for updates to existing websites will have been scheduled for the Team in accordance with the easy peasy step by step instructions provided; reminder alerts for me to return any missed calls (assuming this amazing PA was unable to assist or refer the caller to a Team member), will be chirping happily at me from our customer database system; client payments received will be entered into our accounts system and any cheeky late payers will have had a quick call to ask when theirs will be with us; and if there’s a cup of tea on everyone’s desk I won’t be the only happy one in the room!
